That was the classic way.

After the booking

A system built around your business.

We set up the booking the way your business works and connect it with three automatic steps. We write every message with you, in your tone and in your name. You decide which steps you use.

  1. 1 · Before the appointment

    The appointment reminder

The day before, your customer receives a short message by email, text or WhatsApp, with the time, address and a link to reschedule. Anyone who can't make it cancels in good time, and the slot becomes free for others.

    15 % instead of 21 %

With digital reminders, 15 % of appointments were missed; without reminders, 21 %. That's around a quarter fewer missed appointments.1

Analysis of 21 studies, conducted in healthcare. The effect in an individual business may differ.

  2. 2 · After the appointment, if you wish

    The review request

A few hours after the visit, your business says thank you and asks for a Google review, with a direct link. All customers who have agreed receive the same request and nothing in return; Google's rules require this too.2 Asking brings more reviews and a more realistic overall picture.3

    83 %

of those who were asked for a review went on to write one.4

  3. 3 · A few weeks later, with consent

    The follow-up reminder

Example hair salon: around six to eight weeks after the cut, at an interval you set, a short message arrives: “Time for your next appointment? Here are your free slots.” One click, and the appointment is booked. If you like, with a voucher code or news from your business; an offer mainly works as a reminder.5

    13 % more visits

came from regular email reminders in a field experiment.6

Everything only with your customers' consent, and they can unsubscribe at any time. When booking, every customer chooses which messages they want to receive.

As personal as before

For your customers, it stays personal.

The messages carry your name and sound like your business. Once set up, they create no extra work for your team: no one has to remember reminders, keep lists or chase.

Already running: appointment reminders at Privatpraxis Lindenthal (see below), review requests and follow-up reminders in other acessio client projects.

Why now

Your customers have long been booking online.

Arranging appointments by phone costs both sides time. Many of your customers are now used to booking themselves, whenever it suits them.

64 %

of people in Germany have already booked a doctor's appointment online. In 2023, it was 36 %.7

84 %

of those who book online or would like to value not depending on reaching someone by phone.7

47 %

prefer to reserve a restaurant table online.8

Every week without appointment reminders is a week with avoidable gaps in the calendar.

From a client project

Lindenthal: three websites, one calendar.

At Privatpraxis Lindenthal, three websites lead into one shared appointment calendar. Confirmations and appointment reminders 24 and 2 hours before the appointment go out on their own; no one in the practice sends them by hand.

“What impressed me most was the combination of technical expertise and genuine commitment.”

Working together

From the first conversation to delivery.

You decide based on a concrete proposal.

How we work together
  1. We record appointment types, calendars and the steps your team takes today after an enquiry.

  2. You test a concrete flow with test cases: a normal booking, no suitable availability and changing an appointment.

  3. After your approval, we set up the agreed flow and document responsibilities and what to do if problems arise.

FAQ

What clients want to know first.

What do you promise, and what not?

We promise a booking that fits your appointment types and works on mobile. Appointment booking is not a patient or customer management system. With sensitive data, we check in advance which details the booking needs and where the services involved process them. We don't promise how much the number of missed appointments will fall.

Can my existing calendar stay?

We check which connection to your calendar is possible and makes sense. A switch is only suggested if your current setup can't support the agreed flow.

Can appointments be paid directly?

That can be part of the solution if the booking and payment services are suitable. For medical services, billing happens after the appointment. Fees, refunds and exceptions must be built into the process.

What if no suitable slot is free?

The page should then offer a clear alternative way to get in touch. We plan for that case just as carefully as for a successful booking.

Can I leave out individual steps?

Yes. Appointment reminder, review request and follow-up reminder can each be chosen separately. You can also start with the booking alone.

Do I have to send the messages myself?

No. You approve the texts once, and after that they run automatically. You can have the wording changed at any time.

How do you obtain my customers' consent?

Directly in the booking, with separate, unticked boxes for the appointment reminder, review request and follow-up reminder. Every message includes a way to unsubscribe. We agree the wording with you; it doesn't replace a legal review in the individual case.

Your next step

How do your customers book today?

Phone, email or a portal: in the free first call, we look at how you do it today and show which of the three steps will help you most. You know the scope and the cost before we begin.
